Duties:1. Prepare Firm accounts receivable invoices for Partner review. 2. Manage Firm vendor and accounts payable functions. 3. Proactively manage fluctuating calendars and arrange meeting, travel and other logistical plans for the Partners and assigned professionals. 4. Oversee and prepare materials for presentations, meetings and other projects. 5. Produce and communicate client deliverables when necessary. 6. Draft, edit and proofread business correspondence, presentations, reports, articles, agendas and other documents, as necessary. 7. Perform electronic data entry, scanning and storage functions, as necessary. 8. Represent the Partners and the Firm over the phone by screening, answering and following up on client calls. 9. Manage time and expense reconciliations for the Partners and assigned professionals. 10. Assist with engagement administration and Firm administration by preparing new client acceptance packages, engagement letters, engagement items request lists, and other administrative documents. 11. Assist with deliverable planning and deadlines by maintaining the Firm’s engagement management system. 12. Other duties and special projects, as assigned.
Experience Required:Bachelor’s degree or equivalent experience preferred; High School Diploma required. Minimum of 3 years of experience in a similar role, preferably in an executive support role. Experience in a professional service environment required. Highly detail oriented, demonstrated leadership skills, sound judgement and the ability to effectively interact with Firm personnel and clients. Ability to handle sensitive situations with confidentiality and extreme discretion. Strong office and interpersonal skills and an adaptive intellect. Ability to understand problems, ask the right questions, think critically and identify creative solutions. Thorough proficiency in QuickBooks Online, Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint) and ability to quickly learn and implement new software. Experience with Thomson Reuters practice management is a bonus. Ability to travel as needed, which will approximate 5-10% of time. Willingness to get the job done. Overtime may be required during busy times.
